At PrismScale Private Limited ("PrismScale," "we," "our," or "us"), including our IQvent AI event registration platform (iqventai.com), we respect your privacy and are committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, engage our services, or interact with us.
Please read this Privacy Policy carefully. By using our website or services, you agree to the collection and use of information in accordance with this policy.
1.1 Personal Information You Provide: We may collect personal information that you voluntarily provide to us when you fill out contact forms, subscribe to our newsletter, download resources, apply for career opportunities, engage our professional services, or communicate with us via email, phone, or chat.
This information may include your name, contact information (email, phone number, address), company name, job title, project requirements, business information, and payment or billing details.
1.2 Information Automatically Collected: When you visit our website, we automatically collect certain information about your device and browsing activity, including IP address, device information, browser type, operating system, pages visited, time spent, referring website addresses, and click patterns.
1.3 Information from Third-Party Sources: We may receive information about you from social media platforms, marketing partners, analytics providers, public databases, and client referrals.
2.1 Service Delivery: We use your information to provide, maintain and improve our services, communicate with you about projects, process payments and provide customer support.
2.2 Business Operations: We use it to understand how our website is used, conduct market research and keep our systems secure.
2.3 Marketing and Communications: With your consent, we send newsletters and updates, share insights, personalise your experience and show relevant advertising.
2.4 Legal Compliance: We use it to comply with legal obligations, enforce our terms, protect our rights and resolve disputes.
We do not sell your personal information. We share your information only with trusted service providers that process it on our behalf and under contract. These include Meta Platforms (the WhatsApp Business Platform, for WhatsApp messages), Google (Workspace email), Mailtrap (transactional email), Supabase (database hosting), and Render and Vercel (application hosting), as well as providers that support payments, analytics and customer relationship management. For IQvent AI events, your registration and check-in data is also shared with the organiser of the event you registered for.
We may also disclose your information if required by law, in response to valid legal requests, court orders, or to protect our legal rights, safety, or prevent fraud. In the event of a merger, acquisition, or sale, your information may be transferred.
4.1 What we collect: When you register for an event that uses IQvent AI, we collect the details the event organiser asks for, typically your name, email address, phone number and organisation, plus any other answers the organiser adds to the form. We also record when you accept the event terms, when your email is verified with a one-time code, and when your pass is scanned at the venue.
4.2 Why: To verify your email address, issue your personal QR entry pass, deliver it to you, check you in at the event, and give the organiser attendance reports. We do not use event registration data for our own marketing.
4.3 Organisers: For each event, the organiser decides what data is collected and why. PrismScale processes that data on the organiser's behalf and under our agreement with them. Questions about a specific event can also be sent to its organiser.
5.1 Consent: If you give us your phone number and agree to receive messages on WhatsApp, we use it to send you transactional messages about your registration: verification codes, your entry pass (QR code and pass link), and essential updates about the event you registered for. We send WhatsApp messages only to people who have opted in.
5.2 No marketing without permission: We do not send promotional messages on WhatsApp or SMS unless you have separately agreed to receive them, and we never sell or rent your phone number.
5.3 How messages are delivered: WhatsApp messages are sent through the WhatsApp Business Platform operated by Meta Platforms, Inc., and email through our email providers. WhatsApp's own terms and privacy policy apply to your use of WhatsApp.
5.4 Opting out: You can stop WhatsApp messages at any time by replying STOP, and stop emails using the unsubscribe link or by writing to privacy@prismscale.com. Opting out of messages does not cancel your registration; your pass remains available by email or from your IQvent account.
Cookies are small text files stored on your device that help us improve your browsing experience. We use essential cookies (for security), analytics cookies (to understand visitor interaction), and marketing or preference cookies.
You can control cookies through your browser settings, though disabling them may limit certain website features.
We implement technical and organisational measures to protect your information, including encryption of data in transit and at rest (SSL/TLS), secure infrastructure, and regular security audits. While we strive to protect your data, no method of transmission over the internet is 100% secure.
We retain your personal information only for as long as necessary to fulfil the purposes outlined in this Privacy Policy, unless a longer retention period is required by law.
Typical retention periods:
- Client project data: Duration of engagement + 7 years (for legal/tax purposes)
- Marketing communications: Until you unsubscribe or request deletion
- Website analytics: 26 months
- Job applications: 2 years
- IQvent AI event registrations: for the duration of the event and its agreed reporting period, then deleted as set out in our agreement with the event organiser
Depending on your location, you may have rights such as access to your data, portability, correction of inaccuracies, deletion (subject to legal obligations), restriction of processing, and the ability to withdraw consent.
If you are in India, you have the rights given to you under the Digital Personal Data Protection Act, 2023, including the right to access, correct and erase your personal data, to withdraw consent, to nominate another person to exercise your rights, and to grievance redressal.
